It varies quite considerably according to the project. Some costs are easily calculated - living costs, fees, a book budget, conference travel etc., but the biggest variable is fieldwork. This is where you should concentrate your effort by getting ballpark figures for what you think these costs might be. If you know these, then you can impressive your prospective supervisor with your professioanlism.

Athina. What a lovely Greek name you have. Anyway back to reality. I'm not sure I'm the best to give advice on this given my thread on this same page, but your supervisor is in a position of trust (so to speak) so might be seen to be abusing his position. That said, what you say is not uncommon and I'm not aware of it being a sackable offence so long as the relationship is known about by the powers that be. I do think you have an awful lot to lose though. If you didn't have a professional relationship that would be different. But what do I know, I'm not thinking straight.

Welcome to the board Athina.

I have three male supervisors so I don't spend too much time worrying how I look in front of them. That said, I do like to sound like I know what I'm doing!

I'm sure the other members will be able to help though.

No, you must keep normal sleep patterns. If I have a nap in the afternoon then I'm good until 2am. 5 or 6 hours deep sleep then ready for action in the morning. Having two sleeping sessions naturally mirrors the body's own metabolism anyway. Best to work with it.

Work with your body (i.e. lark or owl). I'm rubbish in the afternoons but good in the morning and in the evenings (which is why I'm working in the office now). As DanB says, an afternoon nap is a better than any amount of stimulants and should freshen you up nicely.

I use EndNote X which plugs rather nicely into MS Word. Personally, I think it's brilliant as I can manage my entire reading list in the software and print off lists of articles I need to go and get from the library. You can also write notes for each reference which I use to write a few words on why I'm using this reference. Obviously, there's the straightforward stuff of it automatically generating your bibliography as you cite articles in your text.

That said, I haven't seen any of the others, but I consider this a godsend because it keeps my reading tightly organised.
